Best digital RAMS sign-off apps UK (2026): eight compared
Writing a RAMS and getting it signed are different jobs. Eight UK apps compared on the signing side.
- Separate the two questions: who writes the RAMS, and how it gets signed on site. A beautifully written RAMS that nobody signed is no defence.
- Look for a signature per person per revision, a clear list of who has not signed yet, a way to chase them, and a record you can hand over that cannot be quietly edited.
- Some products block the gate until the RAMS is signed; others let people in and flag the office. Pick the one that matches how your sites actually run.
- Prices on 3 November 2026 run from £39 a month for a whole firm to £5 per worker a month to per-site fees of £395.
Writing a risk assessment and method statement is one job. Getting every operative to read it and sign it before they start, every time it changes, and being able to prove that later, is another. Most products do one of the two well. This guide compares eight UK options on the signing side, with notes on which also write the document.
We make JobGate, so we are not neutral. Everything here about other products comes from their own websites on 3 November 2026 and may have changed since. “Not mentioned” means we could not find it on the supplier’s site, not that it does not exist. If you spot a mistake, email hello@jobgate.uk and we will correct it.
Writing it and signing it are different jobs
The law puts the duty on the employer: a suitable and sufficient risk assessment, and the significant findings told to the people doing the work. The signature is not the law; it is your proof that the telling happened. So the questions for a sign-off tool are practical. Did each person sign the version in force that day? When you issue revision C, does revision B’s signature stop counting? Can you see at 7:45 who has not signed, and do something about it? And when a claim lands a year later, can you produce the record without anyone being able to say it was changed?
Eight UK options side by side
| Product | Writes the RAMS? | How operatives sign | Revisions and chasing | The record | Price |
|---|---|---|---|---|---|
| JobGate | Yes, with AI help and a named person approving it, or upload your own PDF. Any safety document: RAMS, COSHH, construction phase plan, asbestos survey, fire plan, lifting plan, drawings. | At the door. The scan opens the paperwork for that job; they read it and type their full name to sign before they are cleared to work. Subcontractors’ operatives sign their own firm’s RAMS as well as your site rules. | A new revision resets everyone to unsigned. The job page shows who still has to sign, with one-tap reminders to their phone. | Every signature in a sealed, tamper-evident PDF every Monday, with a public check page. Add-only: nothing edited or deleted. | £5 per worker a month, £30 minimum, no set-up fee, no contract, 30 days free. |
| The Site Book | Yes. AI-drafted RAMS, CPP, COSHH and inductions from the project. | On the phone from a shared link, with an optional 4-digit PIN as identity evidence on Business. | Per-worker sign-off tracked per version on Business; Site Control blocks check-in until the current version is signed. | Audit pack export. | Pro £39 a month, Business £199 a month, Site Control £395 per site a month. |
| RAMS AI | Yes. RAMS, COSHH, permits, toolbox talks, inductions. | Operatives scan a code and sign on their phone; no login. | Documents re-issued as needed; chasing not mentioned. | Signed documents locked and stored as PDF. | £39.97 a month for the whole firm; free for one job a month. |
| Site Samurai | Yes, AI on Professional and above. | Time-stamped signatures from a link. | Approvals and distribution; chasing not mentioned. | Document storage 25 GB to unlimited. | £99, £199 or £699 a month, unlimited users. No site sign-in. |
| SiteConnect | Yes, from templates linked to risk registers. | Assigned to workers through the app; digital signatures. | Approval stages, version control, re-approval when changed, dashboard of who has signed. | Exports. | From £625 a quarter (1 to 9 workers); 14-day trial. |
| Insite | Templates. | In the app at sign-in. | Re-sign on revision; sign-in gated until done. | In-app records. | Workforce Management on Premium by quote, 12-month minimum, £500 to £1,000 onboarding. |

What the signature is worth
A signature is only evidence if three things hold. It names a person, not “DE” scrawled with a glove on. It is tied to a version, so a change to the method statement cannot be covered by last month’s signature. And the record it sits in cannot be altered afterwards without that showing. Ask every supplier how they handle each one. JobGate asks for the full name as registered on the phone, keys every signature to the revision, and seals the weekly record so any later change to the file is visible on jobgate.uk/verify.
Blocking the gate is the other choice to make with your eyes open. It sounds safer, but a system that refuses sign-in when someone’s phone has no signal or the subcontractor’s RAMS has not arrived produces a queue at the gate and people working unsigned-in. JobGate lets them in, tells them they are not cleared, and tells the office. You decide, not the software.
Which suits which firm
- You mostly need RAMS written, quickly, for small jobs: RAMS AI or The Site Book Pro, both under £40 a month.
- You want a safety-document library with approvals and version control across several offices: SiteConnect or Site Samurai.
- You run a main-contractor gate and want sign-in refused until the RAMS is signed: Insite, Collabor8Online or The Site Book Site Control.
- You want every operative and subcontractor signed before work at the door, a list of who has not, a sealed record, and the timesheet from the same scan: JobGate.
Questions
Is a typed name a valid signature on a RAMS?
Yes. UK law has accepted electronic signatures since the Electronic Communications Act 2000, and the HSE is interested in whether the person was briefed, not in ink. What makes a typed name strong is the context around it: the phone it came from, the time, the version signed and a record that cannot be altered.
Do subcontractors sign my RAMS or their own?
Both, usually. Their firm writes the RAMS for their part of the work and their operatives sign that. They also sign your general site rules and any site-wide documents. A good system shows you when a subcontractor’s operative has signed neither.
What happens when I change the RAMS?
On JobGate a new revision resets every signature for that job and the job page shows who still has to sign. The Site Book and Insite also track per version. Check that whatever you choose does, because a signature on revision A is no evidence for revision C.
Can the signatures be edited or deleted later?
On JobGate, no. Records are add-only, corrections go on a new line, and the weekly PDF is sealed so any change to the file shows. Ask other suppliers directly; several let an admin edit or remove records.
